School and alumni websites and systems

A school website and an alumni organisation often serve different people, but the work behind them overlaps. I help schools, old boy and old girl associations, and alumni organisations plan and build websites and systems around the people using and managing them.

My focus is South Africa, with remote delivery and international enquiries welcome.

Work out what the website needs to do

Parents may need clear school information and a way to enquire. Alumni may want to reconnect, update details, attend events or support a project. Staff and volunteers need a manageable way to keep information current and handle the administration behind it.

I start by understanding those jobs, who is responsible for them and which systems are already in place.

What I can help you bring together

  • School information, admissions enquiries, news and events.
  • Old boy, old girl and alumni information and community activity.
  • Memberships, member directories and record updates.
  • Donations, fundraising information and sponsor visibility.
  • Event information, registrations and administration.
  • Newsletters and communication workflows.
  • Digital archives and access arrangements.
  • CRM integration, sponsor management and wider business administration.

These are options for the agreed scope. A public information website does not need every feature, and a member directory needs different access arrangements from public news.

Plan the systems behind the pages

Before building, we need to decide what information is collected, who can see it, who keeps it current and what happens after someone submits a form. Payments, memberships, private records and school information each introduce their own requirements.

I can help define those workflows and implement the agreed connections. Where a platform or specialist provider is needed, its responsibilities and ongoing costs should be clear before it is selected.

Keep day-to-day management in mind

The people updating the website should be involved in planning and testing it. We agree what they need to manage themselves, what training is required and which documents and access must be handed over.

That matters whether the work is handled by a school marketing team, an alumni office or a small committee of volunteers.

What happens next?

Tell me about your school or alumni organisation, your current website and systems, and the work you want to make easier. If you have an existing brief, I can review it. If you do not, I can help you develop one.
